<p>We are now happy to introduce a new feature available now in the system &#8211; custom PAYNOW with exact amount of invoice amount auto-coded into the QR code <strong>for easier and more convenient way to pay for your customers.</strong><br />
<span style="text-decoration: underline;">This post is here to:</span><br />
1. Explain what is PAYNOW the benefits of PAYNOW payment option.</p>
<p>2. Explain how to easily set up PAYNOW option in the system so you can fully utilise this feature today.</p>
<h3>What is PAYNOW and benefits of PAYNOW</h3>
<p>PAYNOW is not a new feature available on the market for collecting payments from your customers. StudentLogic has had a basic option for PAYNOW available for a while now. The main advantage added to this option now is the ability of auto generating QR code into your invoice for PAYNOW payment option for your customers loaded not just with your general banking information but also with the exact amount of the invoice that customers need to pay to further avoid human mistake and increase accuracy of this type of payment.</p>
<p><strong>What is PayNow Corporate</strong></p>
<p>(Source: The Association of Banks, Singapore)</p>
<p>PayNow is available to corporates, businesses, Singapore Government agencies, associations and societies – collectively “Entities” – through PayNow Corporate of participating banks.</p>
<p>PayNow Corporate enables Entities to pay and receive Singapore Dollar funds instantaneously by linking their Unique Entity Number (UEN) issued in Singapore to their Singapore bank account. They do not need to know the bank and account number of other entities when transferring funds.</p>
<p>To receive funds, entities need to register for the service online at their bank’s banking platform. They can also contact their bank for assistance.</p>
<p>With PayNow Corporate, retail customers of participating banks can now transfer funds to entities and vice versa.</p>
<p>PayNow Corporate is provided by the nine PayNow participating banks except for Bank of China, and Industrial and Commercial Bank of China Limited. They will be offering PayNow Corporate at a later phase.</p>
<p><strong>Basically, what it means is that as a Singapore company, you can register for PAYNOW option with your bank and StudentLogic system is ready to auto populate QR code for your customers on your Invoices so they can pay you via PAYNOW (transfer the funds to your bank). </strong></p>

<p><strong>MAIN BENEFIT:</strong></p>
<p><strong>Very easy way of payment for your customers without the need of paying with the credit card or paying high credit card processing fees.</strong></p>
<p><strong>IMPORTANT NOTE:</strong></p>
<p><strong>This is considered a bank transfer from your customer to your bank account so the auto offset of the invoice does not happen in StudentLogic. You need to manually offset the invoice in the system once you receive payment in your bank account (based on recorded POS no. that would be listed in your online bank statement).</strong></p>

				<content:encoded><![CDATA[<p>In this education blog we will focus on the topic of students&#8217; withdrawal from the system. Managing the students&#8217;s overall status in the system is very important as it influences other areas and functionality.</p>
<p><span style="text-decoration: underline;">This blog is here to:</span><br />
1. Summarize the importance of withdrawing students in the system real time.<br />
2. Demonstrate how to withdraw students correctly.</p>
<p style="text-align: center; font-family: Arial, 'Helvetica Neue', Helvetica, sans-serif;"><strong>LET&#8217;S GET STARTED</strong></p>

<h3>Why is it important to withdraw students in the system ?</h3>
<p><strong>Withdrawal of student</strong> in the system should generally happen when it&#8217;s either clear that student will not continue their classes into next term or next package because <span style="text-decoration: underline;">they explicitly informed you</span> about it and want to take out their deposit (if there is a deposit) or when student went quiet and did not renew their classes last term or last few terms <span style="text-decoration: underline;">even if they did not inform you</span> that they want to withdraw.</p>
<p>The main reasons for this to happen are:</p>
<ul>
<li>To know real up to date information about how many active students you have.</li>
<li>Withdrawn students <strong>do not appear</strong> in Ending Packages Report, which makes it a lot easier to perform mass renewal correctly.</li>
<li>To monitor reasons for withdrawal as valuable source of information about why students are not renewing their packages to be able to do something about it (if possible of course).</li>
</ul>
<p>There is no reason to keep students on Active status if they did not renew their package as you can still choose to keep their membership number as it is (do not expire it). As soon as they purchase any new package (even few months later) they will automatically be Active again in the system.</p>
<p><span style="text-decoration: underline;">The ideal way to manage the process of withdrawal in the system for scenario where student does not inform you about official withdrawal would be:</span><br />
1. Mass renew (or individually renew all students ) to the new term (new package).<br />
2. Receive payments and registrations before the term starts or at the beginning of the term as you normally do.<br />
3. Generate <strong>Report</strong> <strong>&#8220;Students by Term&#8221;</strong> to check who has renewed and paid for the new term (new package) and identify the list of students who did not.<br />

All students who do not have any POS number in the last term column or few last columns are most probably not renewing their packages. It&#8217;s best however to go into Student&#8217;s CRM and double check what is happening and whether student should be considered for withdrawal.</p>
<p>If there is no term however, all POS numbers would be accumulate in one column only (first one without any term) and you need to look at POS numbers to identify which students are not renewing.</p>
<p>4. <strong>Follow up via email/phone</strong> with those students who did not renew to find out the reasons why and record them in the system for future reference and analysis or potential immediate action.<br />
5. Withdraw those students who are 100% not coming back to make sure next term renewal will be easier.</p>
<p>The optional way to identify students who might already need to be withdrawn in the system would be at the point of analysing Ending Packages Report before you perform mass renewal. <span style="color: #0000ff;">Students who do not have complete packages bought or who have not attended/booked any lessons from their last package and other exceptional cases</span> should raise a <span style="color: #ff0000;">red flag </span>and you might want to follow up with them and update their status to withdrawn if that is correct for their case.<br />

<h3 class="null">How to correctly withdraw student from the system</h3>
<p>Once you identify and confirm that student should be withdrawn from the system, go to student&#8217;s attendance page to perform withdrawal (change status of student to withdrawn).<br />

<p>Student can only be withdrawn via <span style="color: #0000ff;">Withdrawal widget</span> as shown above.<br />
1. Click <strong>&#8220;Withdraw Student&#8221;</strong> to initiate withdrawal and the page summarising student&#8217;s situation will appear.<br />

2. <strong>Make decisions</strong> about all sections listed on the withdrawal screen as shown above. They are very self-explanatory and with detailed descriptions to make sure it&#8217;s easy to navigate through them. If you still face any issue and cannot decide you can email us at <a href="mailto:support@nextlogic.com.sg?subject=RE%3A%20How%20to%20withdraw%20student%20correctly" target="_blank" rel="noopener">support@nextlogic.com.sg</a> and ask for advice how to correctly withdraw your student.<br />
If there is no <span style="color: #0000ff;">Deposit</span>, do not worry, just keep the default option selected, it won&#8217;t influence the process in any way.<br />
In the <span style="color: #0000ff;">Active Packages</span> section, just select option that you want system to perform with regards to remaining available classes for student. The screen will change a little bit with different options selected.<br />
<span style="color: #0000ff;">Expire Membership</span> &#8211; if you do not tick this option, the membership will remain in the system, if you tick this option the membership number will be expired.<br />
If you are not issuing cheque, you can leave the field empty.<br />
Please, fill in <span style="color: #0000ff;">Reason for Withdrawal</span>, it&#8217;s a required field.<br />
To submit click on<strong> &#8220;Withdraw Student&#8221;</strong> button at the bottom of the page.</p>
<p>3. You will be redirected to <strong>Withdrawal Confirmation</strong> page where all your choices from prevoius page are summarised so you can double check if everything is correct as once performed, it cannot be un-done (only re-enroll and sell new package).<br />

You can either abandon the withdrawal here and start again or click &#8220;Withdraw Student&#8221; if everything seems correct and you want to complete the process of withdrawal.</p>
<p>4. Once completed, you will get a success message to inform you about successful withdrawal. If anything goes wrong, you will get an error message. Read the error message and do what it asks you to do or try the whole process again.<br />

5. The status of student is now changed to<strong> &#8220;W&#8221; </strong>as withdrawn.<br />

<p><strong>The main learning point from the video below:</strong></p>
<p><strong>Credit Unused Attendances Functionality is also a Credit Note. It is recorded in the system as POS with negative amount a.k.a Credit Note. The main difference with independent Credit Note is the fact that when you use it the revenue would be correctly deducted from the sale of the specific course package as opposed to independent Credit Note which is not linked to a specific package sale. </strong></p>
<p>IMPORTANT:<br />
1. Credit unused attendances can only be used on confirmed/paid POS sale under specific package.<br />
2. Credit note must be confirmed before you can use it to offset outstanding amount or pay it out.</p>

<h3 class="null">Parents&#8217; App Features in the version 1.8</h3>
<p>Parents&#8217; App is available for parents&#8217; download from <strong>Apple Store</strong> and <strong>Google Play only</strong>. Parents&#8217; Login into the app is possible via <strong>mobile</strong>, <strong>Facebook </strong>or<strong> Google only</strong>.</p>
<p><span style="color: #0000ff;"><strong>1. Dashboard / Home</strong></span><br />
Upon initial login and subsequently upon any opening of the app parents will come to the main dashboard where they can easily see the most recent information from the centre in the following areas: <strong>Upcoming classes</strong> (if any), <strong>Outstanding Invoices</strong> (if any), <strong>Latest Teacher&#8217;s Remarks</strong> (if any) and the <strong>main menu</strong> buttons to navigate through the app are at the bottom.<br />
The dashboard&#8217;s logo displayed is your centre&#8217;s logo taken from your system (same as the one that is right now printed on your receipts for example).</p>

Attendance section of the app will list all upcoming or active classes for each student/child (if there are any). There is also option for you to define how many months of history/archive do you want to display to your parents. Archive will display all packages that are expired or completed as of today.</p>

<p><strong>Parent can request reschedule via app</strong><br />
If class is still active and it&#8217;s within required no. of hours before the class (usually more than 48 hours before the class for example) parent can submit request to re-schedule the class with reason why and supportive docs (attach MC for example) and proposed dates for make up class. This step <strong>does not</strong> mean that parent is directly re-scheduling the class. Request to re-schedule is received into the system&#8217;s back-end and staff needs to verify it and re-schedule in the system. Parent can at any time check updated status of the reschedule request via app.</p>

Invoices section of the app will real time display all active or outstanding invoices that are confirmed or not confirmed in the system&#8217;s back-end. Parents/clients will be able to pay online if you define your Paypal account correctly in the system&#8217;s back-end. System will also list archived invoices that were already paid for clients&#8217; reference. The list will follow history information defined in the previous step (If you want parents to only see the last 6 months of packages/classes bought for example then only respective invoices for the last 6 months will be displayed in this section.)</p>

Teacher is able via teacher&#8217;s app to upload notes/comments about the whole class or individual students along with images taken during class and upload under individual students. Those can then instantly be shown to parents via Parents App.</p>

Parents are also able to quickly and easily update their contact information, information about their children and upload photos of their children. <h3>Why you should take attendance daily&#8230;</h3>
<p>Taking attendance daily or at least regularly <strong>for all your classes and students</strong> is very important in the system to make sure that any loopholes are prevented.</p>
<p>The cycle with one student<strong> is only safely complete</strong> if student <strong>is not just enrolled</strong> into the class and invoice is paid but if attendance is taken and closed. <strong><span style="color: #0000ff;">This logic is put in place to make sure that no creative loopholes happen where either customers data or money is being mis-managed in the centre.</span></strong></p>
<p>The second reason why <span style="color: #0000ff;"><strong>now</strong></span> it&#8217;s even more important to practice taking and closing attendance is the fact that we will soon be releasing <span style="color: #0000ff;"><strong>Parents&#8217; App. </strong></span>The beauty of parents app is the fact that now also parents will be able to instantly see all relevant information about their students in your centre including attendance records. All they need is to log into parents app and all main information is available there for them. <strong>This means that your records in the system must be meticulous and up to date to make sure that parents access real time correct information.</strong></p>
<p><span style="color: #0000ff;"><strong>Parents&#8217; App version 1.0 will also allow parents to:</strong></span></p>
<ul>
<li>Update personal contact information</li>
<li>Upload picture of student</li>
<li>View upcoming classes and request to re-schedule with reason for your re-scheduling</li>
<li>View attendance summary</li>
<li>View all invoices created in the system with option to pay outstanding ones online via Paypal</li>
</ul>

<h3 class="null">Taking attendance with app</h3>
<p>1. To install the app on your device (iOS and Android only), key in your app&#8217;s URL link into the web browser on your device. (If you are not sure about the Attendance App URL, please email us at <a href="mailto:support@nextlogic.com.sg?subject=Re%3A%20Studentlogic%20edu%20email%20-%20Teachers%20App%20enquiry" target="_blank" rel="noopener">support@nextlogic.com.sg</a>)<br />
Once the app is loaded on your device in the web browser, create a shortcut and place is on your Home Screen so you can access it easily.</p>
<p>2. User needs to login into the app. Username and password is the same as to the back-end of the system.</p>

<p>3. To take attendance quickly and easily click on <strong>Attendance</strong> tab in the menu.</p>

<p>4. By default the attendance screen <strong>for today only</strong> would appear. You can tick <strong>&#8220;Only Mine&#8221;</strong> if you want to filter out only classes assigned to you in the back-end. Use arrows next to date field to move to different days, if needed.</p>

<p>5. Click on the class for which you want to take attendance. The list of students who are supposed to attend this class would be listed with their respective attendance status.</p>

6. Tick on all students you want to update to<strong> &#8220;Attended&#8221;</strong> for example and select status <strong>&#8220;Set to Attended&#8221; </strong>from the <strong>&#8220;Set Status&#8221;</strong> in the menu above the list of students. You do not need to save and update attendance one by one.</p>

<p>7. New status is automatically saved. If that&#8217;s all you want to do, log out of the app to make sure that your user license is not preventing other users from using the system.</p>

<h3>Student Status</h3>
<p>Student Status as displayed next to student&#8217;s name in CRM (<strong><span style="color: #008000;">Active</span>/Withdrawn/<span style="color: #daa520;">Suspended</span></strong>) or in Students summary page is an <strong>overall general student&#8217;s status</strong> that is automatically updated to <strong><span style="color: #008000;">Active</span></strong> with first purchase of class in the system. It does not matter whether the sale is a trial class or a package, as long as it&#8217;s a class sale, the status will automatically change to &#8220;Active&#8221;.</p>
<p>From this point onwards, it&#8217;s <strong>up to you</strong> to manage this status by using <strong>Student Status widgets </strong>available to correctly indicate whether the student is still active, suspended or withdrawn. System <strong><span style="color: #ff0000;">will not</span></strong> automatically update this status unless you use correct widget to update this overall status.<br />

<p>To put it into perspective, it basically means that student can be on status <strong><span style="color: #008000;">Active</span></strong> and <strong>not have</strong> any active membership (if you initially sold a trial class but did not sell any membership) or <strong>not have</strong> any active classes/packages (if trial was attended but no further sale was done and thus there is no active class/package under this student right now).</p>
<p>The idea is to actively follow up with trials to make sure that they should stay on the &#8220;Active&#8221; list or withdraw them in case they have no potential.</p>
<p>To be able to correctly identify students you are looking for in Students summary page make sure you use correct filtering criteria.<br />

<p>The only auto update of student status happens when withdrawn student purchases a new package/classes. System will automatically update the status to <strong><span style="color: #008000;">Active</span></strong> again.</td>

<p>This status is very straightforward. Student can either<strong> not have</strong> any membership (never purchased or expired) or student <strong>can have</strong> Active membership.<br />
This status is useful for filtering when sending mass email/sms out for example.</td>

<h3><strong>Activity Status</strong></h3>
<p>Activity Status refers to student&#8217;s activity in the system in terms of having active classes/packages <strong>at the point of search (as of date when search is performed)</strong>. This can change from day to day, that&#8217;s why it&#8217;s usually very hard to come up with one final number of active students per term for example as that number might be different every day of the term. That is a very extreme example but as long as new students are allowed to join in and students are dropping out, those numbers will change.</p>
<p>This status can thus be used to check real time (as of TODAY) what is the number of active students or it can be used as a filtering criteria when sending mass email or sms out for example.<br />
